Administrative Assistant- Food and Beverage 

 
SUMMARY:Manages all Food &Beverage administrative activities. Ensures that all reservations for regular dining and special events are booked and within the set parameters of the restaurant.
Communicates to the food and beverage management team of all other special events and requests for the membership. Ensures all food and beverage information is complete and accurate on calendars as well as any other special event advertisements. Works in conjunction with the Director of Dining, Dining Room Supervisor, Executive Chef, and Marketing and Communications Coordinator.
 
 Essential Duties and Responsibilities include the following;

 Event Support
  • Communicates and coordinates with all departments to ensure that all event information is accurate and timely in all Food & Beverage information systems.
  • Sets up special event information in the computer.
  • Follows through with special events and dinner dances- vendor follow up, event planning and contract and billing.
  • Coordinates dining calendar with Executive Chef and the Manager of Dining Operations.
  • Books meeting rooms for internal staff needs.
 
Dining Operations Support
  • Manages and monitors restaurant bookings for regular dining and special events to ensure bookings are within parameters of the restaurant and club guidelines.
  • Assists and advises on the production and layout of all menus.
  • Work with Communications Department to ensure that information is accurate and timely.
Team Support
  • Complete POS training for new employees; work with the Manager of Dining Operations for completion of training modules prior to training, consistently review the training process for any change
  • Report any issues concerning POS policies and Procedures to the Manager of Dining Operations.

Administrative Support

  • Codes all Food & Beverage invoices to ensure proper payment.
  • Maintains files on reservation sheets, billing records, and correspondence for each event.
  • Review invoices for consistency and input Invoices for the food and beverage and culinary department in budget tracker.
  • Maintains backlogs of all historical menu information and daily covers.
  • Notifies members via email on any member feedback and escalates any issues to the Manager of Dining Operations.
  • Handles member concerns and situations; researches member chits for discrepancies and assists in member complaint resolution and billing enquires notifying the Manager of Dining Operations.
  • Manages the petty cash supply for Club.

Qualifications:

Associate Degree or equivalent from a two-year college or technical school; and/or one to two years related experience and/or training; or equivalent combination of education and experience.

Pro Shop Merchandiser- Full-Time 

SUMMARY: Assists the Director of Golf Operations with all aspects of merchandising and Operations of the Pro Shop.
 
 Essential Duties and Responsibilities include the following;
  • Assists in the determination of the direction of all soft goods retail sales. Meets with sales representatives & places all orders related to soft goods.
  • Designs and sets up visual displays & usage on the floor.
  • Checks in all merchandise, tags and prepares it for display in the shop. Ensures the packing slip matches the original order.
  • Plans, coordinates and implements all special promotions and all sales related functions.
  • Assists in physical inventories.
  • Oversees all customer service on the retail floor.
  • Maintains updated vendor files.
  • Checks in UPS and FedEx deliveries.
  • Trains shop personnel on retail sales, products, related warranties and proper merchandising techniques
  • Assists Golf Operations with all special events, player check-in, tee times, lesson bookings and opening and closing procedures.
  • Works with leagues & tournaments on the purchase of prizes for special events.
  • Communicates with members, co-workers, management and the general public in a courteous and professional manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Performs other duties as assigned by the Director of Golf Operations.
Knowledge, Skills, and Abilities:
  • Previous country club experience preferred.
  • Excellent customer service skills, strong communication and phone skills.
  • Experience analyzing data and preparing reports.
  • Verbally communicate in English and in writing.
  • Experience interacting  professionally and maintaining effective working relationships with superiors, co-workers and members.
  • Must be able to multi-task and work in a fast paced environment.
Education and Experience:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Summary: Attends to the needs of members and guests through the provision of quality customer
service and a satisfying dining experience.
 
Responsibilities
  • Properly greets members with name acknowledgement whenever possible; makes self-introduction and ensures proper table setup.
  • Informs members/guests of daily specials and takes orders for food and drinks as necessary and inputs into point-of-sale (POS) system.
  • Gauges timing of food delivery to ensure members’ orders are prepared correctly and correct food temperatures are met without rushing or causing undue delays.
  • Checks tables frequently to determine if diners have any needs or requests including drink refills, additional bread and butter, desserts, coffee, etc.
  • Maintains tables in a neat and orderly manner and cleans as necessary.
  • Opens and closes side work to ensure that everything is prepared for efficient service.
  • Assists other Servers to ensure that all diners have an excellent dining experience.
  • Checks card information supplied by Hostess and opens check under appropriate member number.
  • Requests members’ number and presents check for signature as necessary.
  • Responsible for all member checks and charges with his/her section.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Performs other duties as assigned.

  • Excellent customer service and interpersonal skills.
  • Serving experience required; previous club experience preferred.

Food Runner- Full-Time/Seasonal

 
Summary: Attends to the needs of members and guests by delivering food to the correct table and to the correct member and ensures members and guests have an excellent dining experience.
 
Responsibilities
  • Ensures that food is delivered to the correct member at the correct table and all items requested are served.
  • Communicates with the kitchen, Servers and the Assistant Dining Room Manager regarding issues with food delivery to the tables.
  • Stocks expediting station on a regular basis and/or as needed.
  • Ensures familiarity with the floor plan, table and position numbers.
  • Completes all opening, closing and running side work throughout the shift.
  • Services secondary items as requested such as refilling water, bread basket, sauces, butter and buses table as necessary.
  • Uses member’s name whenever possible.
  • Adheres to ServSafe rules, regulations and standards.
  • Leaves work area organized and clean and ready for next shift.
  • Communicates with members, co-workers, management and the general public in a courteous and professional manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Exhibits and maintains a professional demeanor and grooming standards to reflect a positive image of Bear Lakes Country Club.
  • Performs other duties as assigned by the Assistant Dining Room Manager.

Cook- Full-Time/Part-Time/Seasonal


Cooks and seasons soups, meats, vegetables and other foodstuffs for Members and guests in the Club restaurants.

Responsibilities
  • Reads menu to estimate food requirements and procures food from storage.
  • Measures and mixes ingredients according to recipe to prepare soups, salads, gravies, sauces and casseroles.
  • Bakes, roasts, broils and steams meats, fish, vegetables and other foods.
  • Adds seasoning to foods during mixing or cooking.
  • Observes and tests foods being cooked by tasting, smelling and piercing with fork to determine that it is cooked.
  • Carves meats, portions food on serving plates, adds gravies and sauces and garnishes servings to fill orders.
  • Prepares food to Members’ satisfaction as perfectly and as quickly as possible.
  • Sets up work station to ensure freshness and quality.
  • Assists in other kitchen duties as necessary for success of the operation.
  • Breaks down and cleans work station at the end of service.
  • Performs other duties as assigned by the Executive Sous Chef and Executive Chef.

Golf Course Superintendent
 

Summary: Assists the Head Golf Course Superintendent and Director of Golf Maintenance in managing all phases of golf course maintenance. Oversees and participates in all fertility and plant protectant programs, irrigation installation and repairs.
Essential Duties and Responsibilities include the following;
  • Assists with planning, scheduling, instructing, training, and directing crew in the performance of golf course maintenance procedures and job responsibilities.
  • Performs checks of processes throughout the day.
  • Oversees chemical and fertilizer applications and assists as necessary.
  • Advises Head Superintendent and Director of Golf Course Maintenance of course conditions.
  • Oversees cleanup and storage of tools and equipment at the end of the shift.
  • Advises leadership of all performance issues and enforces performance standards.
  • Communicates with members, co-workers, management and the general public in a courteous and professional manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Exhibits and maintains a professional demeanor to reflect a positive image of Bear Lakes Country Club.
  • Performs other duties as assigned by the Head Golf Course Superintendent and Director of Golf Course Maintenance.
 Knowledge, Skills and Abilities:
  • Working knowledge of agronomy and related practices. 
  • Knowledge of the game of golf.
  • Must be able to lift up to 50 pounds.
  • Must have good customer relations skills.
  • Previous club experience required.
  • Ability to verbally communicate well in English and in writing.
  • Ability to understand and carry out verbal and written instructions in English.
  • Ability to interact professionally and maintain effective working relationships with superiors, co-workers and members.
  • Must be able to multi-task and work in a fast-paced environment.

Qualifications:

Associate’s degree (A.S.) in Agronomy or Horticulture plus four to ten years related experience and/or equivalent combination for related education and experience.

Certificates, Licenses, Registrations:
Acquire State of Florida Commercial Applicator license in Ornamental and Turf within six months of employment.
  • GCSAA and PBGCSA membership.
  • Valid Florida driver’s license and a good driving record.
