Assistant Controller

SUMMARY: The Assistant Controller supports the CFO through preparation and maintenance of accounting transactions/reports which may include general accounting, financial reporting, costing, and/or budget data. This position is responsible to keep precise records, aid in establishing procedures to insure proper checks and balances, and to maintain a high level of integrity in the operation. This position may include supervisory duties of accounting staff as assigned.

Essential Duties and Responsibilities include the following

Member Services 
  • Act as a point of contact with members.
  • Interact with member regarding monthly statements
Accounts Payable
  • Receive and track invoices.
  • Work closely with departmental managers to coordinate accurate coding and posting of invoices.
  • Timely processing of vendor checks.
  • Reconcile vendor statements.
Accounts Receivable
  • Reconcile and post daily sales.
  • Prepare daily flash reports and distribution to department managers.
  • Post account adjustments.
  • Post and track member payments.
  • Process monthly member statements.
  • Prepare and/or oversee preparation of member bills.
  • Coordinate and reconcile party billing and member events in POS system.
  • Coordinate and reconcile delinquencies with collection agency and/or attorney.
Additional Responsibilities
  • Complete all other duties as assigned by the CFO and/or General Manager.
  • Work closely with departmental managers to coordinate management of inventory accuracy and reconciliation
  • Oversees monthly inventory counts and prepares final posting of inventory to accounting system.
  • Assist with the preparation of required government reports, returns, and taxes.
  • Assist accounting staff as directed.
  • Financial statement preparation as directed, including subsection review.
  • Month-end reports and reconciliation.
  • Assist with annual audit.
  • Additional duties and projects as assigned.
  • Provides assistance for members and guests in the Pro Shop.
  • Checks in merchandise, tags and prepares it for display in the shop. Ensures the packing slip matches the original order.
  • Assists the Tennis Operations with reservations, special events, player check-in, lesson bookings and opening and closing procedures.
  • Communicates with members, co-workers, management and the public in a courteous and professional manner
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Exhibits and maintains a professional demeanor to reflect a positive image of the Bear Lakes Country Club.
  • Performs other duties as assigned by the Tennis Professional.
 Knowledge, Skills, and Abilities:
  • Good customer service skills.
  • Knowledge of Tennis and Tennis merchandise.
  • Good time/task management, and a positive and upbeat attitude.
  • Ability to interact professionally and maintain effective working relationships with superiors, co-workers and members.
  • Must be able to multi-task and work in a fast-paced environment..
Education and Experience:

Required
  • Background in hospitality accounting.
  • Bachelor’s degree in related area.
  • Proficient in Microsoft Office with heavy use of Excel.
  • Strong organizational skills.
  • A minimum of two (2) years prior experience in a member-owned club environment.
  • Experience and working knowledge of Jonas accounting software.
Preferred
  • A minimum of three (3) years accounting experience in a private club.
  • Bachelor’s degree in accounting, finance, or related area.

Locker Room Attendant- Ladies Locker Room- Full Time

SUMMARY: Provides a neat, clean and organized Locker Room environment while providing services offered to members and their guests, attends to the needs of members and guests through the provision of quality customer service and a satisfying locker room experience.
Essential Duties and Responsibilities include the following;
  • Prepares Locker Room for full service each morning and ensures that the Locker Room is neat and clean.
  • Provides for the needs of members and guests.
  • Communicates with members, co-workers, management and the public in a courteous and professional manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Exhibits and maintains a professional demeanor to reflect a positive image of Bear Lakes Country Club
  • Performs other duties as assigned by the Locker Room Manager.

Knowledge, Skills and Abilities:

  • Requires excellent customer service and interpersonal skills.
  • Ability to work with all cleaning products necessary to maintain Locker Rooms.
  • Verbally communicate well in English and in writing.
  • Interact professionally and maintain effective working relationships with superiors,co-workers and members.
  • Must be able to multi-task and work in a fast-paced environment.

Qualifications:
Education/Experience:
High school diploma or general education degree (GED) and one to three months related experience and/or training; or equivalent combination of education and experience.

Food Runner- Full-Time (Seasonal)
SUMMARY: Attends to the needs of members and guests by delivering food to the correct table and to the correct member and ensures members and guests have an excellent dining experience.
 
Essential Duties and Responsibilities include the following
  • Ensures that food is delivered to the correct member at the correct table and all items requested are served.
  • Communicates with the kitchen, Servers and the Assistant Dining Room Manager regarding issues with food delivery to the tables.
  • Stocks expediting station on a regular basis and/or as needed.
  • Ensures familiarity with the floor plan, table and position numbers.
  • Completes all opening, closing and running side work throughout the shift.
  • Services secondary items as requested such as refilling water, bread basket, sauces, butter and buses table as necessary.
  • Uses member’s name whenever possible.
  • Adheres to ServSafe rules, regulations and standards.
  • Leaves work area organized and clean and ready for next shift.
  • Communicates with members, co-workers, management and the general public in a courteous and professional manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Exhibits and maintains a professional demeanor and grooming standards to reflect a positive image of Bear Lakes Country Club.
  • Performs other duties as assigned by the Assistant Dining Room Manager.

  • Must be knowledgeable of all food items on the menu, their descriptions and ingredients.

Busser- Full-Time (Seasonal)
Summary: Attends to the needs of members and guests-serves patrons by setting tables; placing and replacing silverware; keeping beverage glasses full; adhering to sanitation and safety policies; clearing and cleaning tables, chairs, and environment.
 
Essential Duties and Responsibilities include the following
  • Prepares dining room for patrons by cleaning and clothing tables; setting decorations, condiments, candles, napkins, service plates, and utensils.
  • Protects establishment and patrons by adhering to sanitation and safety policies.
  • Maintains menu presentation by keeping menus clean; replacing damaged or soiled pages; cleaning chalkboards; lettering specials on chalkboards.
  • Maintains table setting by removing courses as completed; replenishing utensils; refilling water glasses; being alert to patron spills or other special needs.
  • Supports wait staff by setting-up and replenishing condiment stands, trash containers liners, and bus stations.
  • Closes dining facility by cleaning chairs and tables; sweeping and/or vacuuming floors; removing trash and recyclables from the facility.
  • Updates job knowledge by participating in staff training opportunities.
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Checks tables frequently to determine if diners have any needs or requests including drink refills, additional bread and butter, desserts, coffee, etc.
  • Assists other Servers and Bussers to ensure that all diners have an excellent dining experience.

Golf Course Starter- Full-Time Seasonal
SUMMARY: Maximizes play on the golf course by checking in players at the specified time, ensuring they have the appropriate information to proceed to the tee, observing gaps and openings of nine-hole pick-up times.

Essential Duties and Responsibilities include the following;
  • Greets members and guests, confirms tee times and provides pace of play information.
  • Checks in members and guests and directs them to the appropriate tee at the appropriate time.
  • Marks tee sheet after checking-in players.
  • Marks turn times for first nine holes and for eighteen holes. Maintains turn times for all groups.
  • Records fleet cart numbers and relays information to the GPS Operator.
  • Contacts the GPS Operator and Rangers on pace of play of lead groups and coordinates efforts to ensure that they are on pace.
  • Reports open times to the Golf Center.
  • Ensures that group in “on-deck circle” is ready to play.
  • Records changes to the tee sheets and coordinates with the Golf Center and Ranger.
  • Maintains beverage station.
  • Monitors driving range for dress code violations and enforces all policies and procedures.
  • Follows all established starting time procedures and coordinate activities with Starter on other shifts.
  • Post all course conditions and monitors and guides the Ranger staff.
  • Assists in the drafting of Infraction Reports and follows all checklists.
 Knowledge, Skills, and Abilities:
  • Requires knowledge of the game of golf and etiquette.
  • Must be able to work out of doors and stand for long periods of time.
  • Ability to analyze data and prepare reports.
  • Verbally communicate well in English and in writing.
  • Interact professionally and maintain effective working relationships with superiors, co-workers and members.
  • Must be able to multi-task and work in a fast paced environment.
Education and Experience:
High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience. Private country club experience is preferred.

Bartender - Full-Time 
SUMMARY: Provides bar service to Club members and guests. Maintains general standards of stocking glassware, liquor, beer, wine and miscellaneous bar supplies. Ensures sanitation standards are met.

Essential Duties and Responsibilities include the following;
  • Takes orders, prepares and serves drinks to members and guests in a timely manner so that the highest standards of customer service are met.
  • Rings up orders and gives accurate receipt to member for signature.
  • Maintains proper inventory levels of bar stock and requisitions liquor, beer, wine, mixers and miscellaneous supplies.
  • Maintains bar sanitation procedures to meet Health Department regulations.
  • Stocks appropriate glassware for all shifts and notifies bar management of shortages.
  • Performs all bar opening and closing duties including side work to ensure operational efficiency.
  • Assists with the setup of the happy hour buffet when necessary.
  • Assists with taking cocktail orders on the floor if necessary.
  • Handles member requests and concerns.
  • Assists with taking food orders while servicing members at the outdoor dining outlet.
  • Maintains proper pour and quantity of liquor and wine use.
  • Assists with inventory as needed at the direction of the Beverage Manager.
 Knowledge, Skills, and Abilities:
  • Previous experience in an upscale restaurant, hotel/resort or club is preferred.
  • Must have excellent customer service and interpersonal skills.
  • Requires inventory control and reordering skills.
  • Must be able to work unusual hours including weekends and holidays.
  • Ability to verbally communicate well in English and in writing.
  • Interact professionally and maintain effective working relationships with superiors, co-workers and members.
  • Must be able to multi-task and work in a fast-paced environment.
Education and Experience:
High school diploma or general education degree (GED); in addition to a minimum of one year related experience and/or training; or equivalent combination of education and experience. Certificate from a bar tending school is preferred.
